Meeting and Conference

  1. Download the LBNL Meeting/Conference Procedures
  2. A meeting or conference is considered a visit of more than 10 visitors.
  3. Lab employees (host), who have meetings and conferences of more than 10 visitors, must e-mail or fax a Meeting,/Conference Notification form, completely filled out, to siteaccess@lbl.gov or 495-2700 by, no later than, 48 hours before the day of the  meeting or conference.
  4. The employee must also send an alphabetical list of names of the visitors to the Site Access Office by, no later than, 48 hours before the day of the meeting or conference.
  5. Employees requesting barricade parking for their visitors must include a Project ID number and the number of parking spaces on the Meeting/ Conference Notification Form.
  6. After receiving the Meeting/Conference Notification Form and the list of visitors, Site Access will create, print, and send the Facilities Division a Barricade Request Form, Barricade signs, and a map identifying where the barricade signs are requested to be placed.Employees who have visitors arriving by LBNL shuttle bus must send the visitors an invitation letter, on LBNL stationary,   The letter must be shown to the Lab bus drivers along with a valid form of identification.
  7. Visitors arriving for all meetings and conferences must stop at the entry Gates, produce a valid driver's license and/or valid form of identification, and disclose their citizenship to the Security Officer.
