Access to Institutional Computer Rooms

Introduction:

This course is designed to give you an understanding of the physical security requirements and certain room environmental considerations in the institutional computer rooms.

Fire safety and suppression systems training for these spaces is coveredin a separate course.

Outline:

    2. Reporting suspected environmental system issues.

Applicability:

Content of this course applies to the institutional IT computer rooms in Building 50.

Physical Security:

•LBNL’s institutional computer rooms contain unique resources that require additional protection.  Access to these rooms is granted for business need only.  If your job tasks and assignments change such that you no longer have a business need for access to one or more of the institutional computer rooms, it is your responsibility to notify CS Facilities Office, 50A-0143A, ms 50A-1148, or x4965.

•Your badge/proximity card access to this room is designated for you only.  You may not loan your badge to others.

•When entering any computer room, you may allow other LBNL badged employees simultaneous access to the room only if;

1.You know the person has current proximity card access and business need to be in the room.  There is no need to provide supervision to this individual (s).

2.You are allowing someone with no proximity card access to enter.  This person is your responsibility and you must know what their business need for access is.

Equipment Movement:

•Movement of equipment in or out of these rooms must be performed with the concurrence of either, the CS Facilities Manager or the IT Infrastructure Manager

•Custodians of equipment with LBL-DOE property tags must also submit an Equipment Movement Tag (EMT) to all of the appropriate parties, including the CS Facilities office.

•All equipment must be seismically secured to Facilities Engineering standards.  Penetration permits must be acquired as per PUB 3000 requirements.

Reporting:

•Staff with access to sensitive computer room locations are obligated to report any suspicious activity or suspected missing equipment to Site Security, their supervisor, the IT Infrastructure Manager, or the CS Facilities Manager.

Environmental Concerns:

•Institutional Computer Rooms must be maintained in a manner that minimizes the risk of damage to systems and equipment from external environmental causes.

•All staff performing work in these rooms shall take appropriate precautions to minimize risk of fire.  One of the most effective methodologies is to remove ALL extraneous flammable material from the room immediately.

•Care must be taken not to change airflows or block cooling air from equipment in a manner that may result in its overheating.

•Removal of floor tiles is to be performed only by staff that have been authorized to do so by the CS Facilities Mgr. and are in possession of a current PIN code to the HALON automatic/manual key switch.

•Removal of floor tiles should be limited both in quantity and duration.  Safety cones, and/or caution tape are required to be placed in such a manner well away from the floor opening so as to warn other room users of the potential trip hazard. 

•Do not block means of egress or access to safety devices and/or electrical distribution at any time.

•If you have questions or concerns about environmental risks or concerns, discuss them with the IT Infrastructure or CS Facilities Manager(s).

•Should you ever believe there may be an environmental problem (too hot, too humid, water on or below the raised floor, unusual sounds, etc.), report it immediately to CS Facilities Office, x4965.  If this is found after hours or on a weekend call Facilities Maintenance and Operations x5481.  If unable to make contact, there are individual contact numbers posted just inside the entrance doors to 50A-1165 & 50B-1275.  Still unable to contact someone, then call Blackberry Gate Security,  x5472.

 

Review:

1. When you let someone in to a computer room, you are taking safety and security responsibility for them.

2. Moving equipment requires approval and, if DOE tagged, the use of equipment movement tags.

3. Be aware of environmental issues and restrictions in computer rooms.

4. Report supicious behavior or environmental concerns to CS facilities.
