Join-the-Staff Travel by International Hires:
New hires traveling to Berkeley Lab are invited to request assistance from personnel in the Chief Financial Officer's Department, Operations Division, of Berkeley Lab, skilled in responding to travel, relocation, and moving questions.

Please contact the person who supports your Division (see list below) at Lawrence Berkeley National Laboratory by email, with a cc to intl.researchers.scholars@lbl.gov .

Travel and Ticketing Arrangements
New employees joining the Berkeley Lab staff from abroad, who are offered 4.02 Relocation in their offer, are required to travel under ticketing provided by the Berkeley Lab Travel Service agency, Maritz Travel. Additionally, all future foreign travel for employees, after arrival at Berkeley Lab, will be regulated by these same requirements for compliance and will require U.S. DOE approval. Self-ticketing places the individual at risk for non-compliance with strictly regulated policies and reimbursement will be restricted. Tickets are produced at the Laboratory and may be sent to the traveler by Federal Express timely to meet travel needs.

You may want to email Maxine J. Redfearn in the Laboratory Travel Office, who will review all international air travel reservations made by Maritz on your behalf, prior to ticketing to ensure all travelers are in compliance with travel policies established by the U.S. Department of Energy and the University of California at Berkeley.

If you are being hired for the first time at LBNL, tell them you are a "New Hire" for the Lawrence Berkeley National Laboratory, and tell them the division you will be working in. If you know your Project ID#, give that to them as well.

Relocation & Moving Services
The lab also has a contract with a relocation service provider: Bristol Relocation. They provide moving services (household and personal effects shipments, etc) to new hires. Their phone number is 1-888-240-5977. The contact person for LBNL is Kelly Beighley.

New Employees receive authorization in the offer letter from Berkeley Lab for any relocation and/or shipment of household goods that may be offered. They also receive with the offer letter a complete copy of the policy (Relocation 4.02, Shipment of Household Goods 4.03) covering the services offered.

Authorizations for New Employees who receive full policy benefits for Relocation and Shipment of Household Goods (4.02 and 4.03) are sent to a relocation service (Bristol Relocation) by the staffing specialist who makes the offer. This company will contact the traveler and set up the full move, including the vendor.

New Hires who are or are not being reimbursed for shipment of household goods (under Policy 4.03), or not fully reimbursed, may contact Bristol Relocation (1-888-240-5977) for moving and storage services under the University of California contract. The LBNL contact at Bristol is Kelly Beighley. The Travel coordinator in the Chief Financial Officer's Travel Office may answer your questions about your individual authorization. A list is provided for your information, or you may contact the personnel administrator who signed your offer letter.

The Lab has an agreement with Bristol Relocation (1-888-240-5977) that ensures a substantial discount to the Laboratory and Laboratory employees. If 4.03 has been authorized, the Laboratory will be billed directly for approved moving expenses. Excess amounts will be covered by the new employee.

Bristol Relocation will provide estimates. Direct billing to the Laboratory may be arranged through the join-the-staff travel coordinator only with the understanding that charges beyond the authorized limit are billed to the individual. Any questions about use of this service should be directed to your staffing specialist and/or Bristol Relocation.
