ePro FAQ How do I Renew a Subcontract that will Expire?

 

Subcontract Renewal Information

To renew or establish a new Extended Term Subcontract (Blanket Subcontract), please send an eProcurement requisition and note the following:

The requisition's "Description" should say "Renewal of XXXXXXX" (substitute current PO number) and describe the new work required. In the appropriate requisition fields, enter the vendor, new term start and end dates, a not-to-exceed amount, and certifier. Also provide a list of authorized users with their Project IDs and authority; machine model, serial number, and DOE property numbers (if applicable); and any changes from the previous extended term (blanket) subcontract.

Attach a Sole Source form to the eProcurement requisition if requesting: (1) research or other support from a UC Campus over $25,000, (2) any items or services from another DOE Facility Contractor, or (3) a sole source (non-competitive) procurement of a foreign-made product over $100,000 or any other product or service over $150,000. (A Sole Source form is not required for requisitions covering option-year extensions.)

For requirements over $500,000, other than the exercise of options, the requirement must be an Advance Acquisition Alert Form must be submitted at least 30 days before the requisition reaches Procurement.

No-Cost Extensions

Submit a $0 eProcurement requisition or send an email to the buyer indicating the new end-date and other changes required by the extension.

Consultants / Personal Services Agreement Renewals

To renew or establish a new Consultant or Personal Services Agreement, attach the form, Request for Consultant/Personal Services Agreement & Renewal form to your eProcurement requisition.
