Aging Report
Purpose: Invoices issued by LBNL are due upon receipt. The Aging Detail By Business Unit report is used to track all open, unpaid invoices. It is primarily used by Accounts Receivable staff but is also available to resource analysts working on sponsored research.
Access: The report is available in PeopleSoft FMS. The report can be run by individual customer or can be run to include all customers. To obtain access to PeopleSoft FMS, contact Aurora Pecoraro. For access to the Aging Detail by Business Unit report, contact Sallie Frainier.
How to Read the Aging Report: The Aging Report lists invoices by Customer Number, and Customer Name. The Invoice Number and Contract Number (Award Number) are also shown. The report is broken out by time periods. After 30 days, an unpaid invoice is considered overdue. If an amount is listed in the “Current Inv.” column, the invoice was just issued and there are 29 days remaining before it is considered overdue. If an invoice is listed in the 01-30 column, it is 1-30 days overdue. If you have any questions about the report, contact Sallie Frainier.
How to Find Invoices Sent to a Customer: The Aging Report is sorted by Customer Number; you may run by individual customer, or all customers. The report does not break out invoices by division. In order to find invoices sent to a particular customer, you will need the Customer Number. This number can be found in the “Customer” column of the Reimbursable Work Funding And Cost Report (a.k.a. 737 Report).
