Laptop Loaner Instructions
Loaner laptops are available and can be reserved through Oracle Calendar. Normal loan periods are for one week or less, but exceptions can be made with management approval.
Laptops are provided with the standard load of software and have wireless and wired network capabilities. If you need additional software or hardware, please contact the IT Help Desk http://help/ at least two days prior to the date the laptop is needed. IT support will contact you to see if your requirements can be accommodated, or to discuss alternatives.
- Loaner laptops can be picked up and returned from a designated location on the hill or in building 937. (The pick-up location will be provided when the reservation is confirmed.)
- Delivery to another location and pick-up at the end of the loan period, can sometimes be arranged, but may require a project ID.
- Pick-ups and returns are between the hours of 8:30 a.m. to 5 p.m. If the laptop is required before 8:30 a.m., it should be picked up the previous afternoon. If the laptop is required after 5 p.m., it should be returned the following morning.
Steps to reserving a standard laptop via Calendar
- Reserve a laptop by creating a new meeting and entering the title of the event.

- Enter the rental time. Start time must include the time you will pick up the laptop. End time must include the time you will return the laptop back to IT. For loans longer than a day, ensure you create one long entry spanning the complete time rather than separate daily entries.

- Select the laptop to borrow. Click the “People/Resources” tab, enter “r:IT” in the “Add” field and select the green check mark to display a list of the available laptops.

- Select the laptop you want to reserve. Note: Please select one at the location you will be picking up from and returning to (the last part of the name indicates either 937 or the hill).

- Enter event description. Select the “Details” tab and add any information that would be helpful to the laptop coordinator (e.g., the name of the person who will be picking up the laptop or any special requirements).

- Click the “Reply” tab and choose to book the entry by selecting “Free” in the scroll down menu of the “Show time as:” box.

Note: If you do not see the “Show time as:” option, please upgrade your Oracle Calendar client to the latest version available here.
- Complete the reservation by clicking on “OK”.

- Choose the “No” option when asked to send email.

- You will receive a confirmation email indicating the time and pick-up/return location from the IT laptop rental coordinator.
